Declaration Executive (Import Division)

Job Description

Responsibilities
  • Manage, guide, and monitor the team in job declarations to ensure accuracy and timely completion.
  • Coordinate daily shipments – both international and domestic – and transport arrangement (LCL).
  • Prepare and process customs documentation such as K1, K2, K3, K8, K9 and ZB1 & ZB2.
  • Handle shipping documents like Certificates of Origin, Exemptions and Permits.
  • Liaise with key government bodies including MAQIS, KLIM, MTIB, MIDA, MITI, CIDB, SIRIM and others for regulatory approvals.
  • Submit import/export declarations and assist with resolving customs queries.
  • Verify and check disbursement invoice from service providers for accuracy.
  • Support customers with timely updates and provide professional support for inquires or issues.
  • Ensure accuracy in billing, documentation and filling.
  • Support clerical and administrative task and assist with any ad-hoc.
Requirements
  • Must possess at least SPM or above.
  • At least 5 years of experience in logistics, freight forwarding, customs clearance, or import/export operations.
  • Experience in handling import/export documentation such as K1, K2, K3, K8, ZB1, ZB2, and permit applications.
  • Proficient in logistics management systems.
  • Excellent communication skills to liaise with customers, shipping lines, and government agencies.
  • Strong problem-solving skills to handle shipment issues and customs clearance challenges.
  • Ability to work under tight deadlines and manage multiple tasks efficiently.
  • Attention to detail to ensure accuracy in declarations and compliance with regulations.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to generate reports.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong understanding of customs clearance processes, HS codes, and regulatory permits.
  • Ability to analyze and verify shipping documents, invoices, and customs declarations.

Customer Service Support Executive

Job Description

Responsibilities
  • Handle customer inquiries and provide timely and accurate responses via phone, email, or in-person.
  • Assist customers with booking, tracking, and managing their freight shipments.
  • Coordinate with various departments, including operations, sales, and finance, to ensure smooth execution of customer requests.
  • Resolve customer complaints and issues effectively and in a timely manner.
  • Maintain customer databases and update shipment information as required.
  • Provide pricing and quotation information to customers based on company rates and policies.
  • Communicate with overseas agents, airlines, shipping lines, and other service providers to arrange and monitor freight shipments.
  • Stay updated with industry trends, regulations, and company policies to provide accurate information and support to customers.
  • Generate regular reports on customer inquiries, feedback, and service performance.
  • Provide sales support to sales and operations department
Qualifications
  • Minimum of three years of experience in a customer service role within the freight forwarding industry.
  • Excellent communication skills in English, both verbal and written. Proficiency in other languages, such as Mandarin or Bahasa Malaysia, would be an advantage.
  • Strong interpersonal skills and the ability to build rapport with customers and colleagues.
  • Knowledge of freight forwarding processes, including import/export documentation, customs regulations, and incoterms.
  • Familiarity with shipping and logistics terminology, such as FCL, LCL, air freight, and land transportation.
  • Proficiency in using computer systems and software, including MS Office applications and customer relationship management (CRM) tools.
  • Ability to work under pressure and handle multiple tasks simultaneously while maintaining attention to detail.
  • Problem-solving skills to address customer issues and provide appropriate solutions.
  • Proactive attitude and willingness to go the extra mile to meet customer expectations.
